A HCFA envelope is a window envelope specially designed
to mail HCFA 1500 forms to the insurance carrier. They are
available in two sizes from many suppliers who carry
HCFA's.
The smaller #10 envelope
holds up to about 12 claims comfortably. The larger size is a
little larger than a HCFA form and can hold quite a few. The
HCFA forms do not require folding to be inserted into the larger
envelopes and the insurance company name shows through the
window.
To use the #10
envelopes to send HCFA forms to the insurance companies, you must
fold the forms twice. We fold the top half of the form back just
under the zip code of the insured's information. On the back
side of the claim the top of the page will line up just above the line
that reads "For Medicare Claims".
We then
fold the remaining portion in half and slide it in the envelope.
If we are sending more than five hcfa's in an envelope, we fold
one to fit the window and fold the rest into thirds inserting them behind
the first. If we try to fold all five (or ten) together, it forces
the insurance address lower and doesn't fit the window as well.
Be aware when you order
these envelopes that if you are asked if you want return service
requested printed under your address on the envelope,
there is a charge from the post office. That charge is currently
$.75 per address.
These envelopes are a great
time saver for us. They eliminate the need for labels for the
envelopes. More information on
submitting HCFA's.
